How To Use Series For the years 1861 - 1877, firstly consult the indexes to these registers (COL/C1-17). Consult these registers for the subject and year/s required to obtain access to the numbers and year of the items in the controlled series. Researchers should carefully follow and note the subsequent letter numbers until the final number entered ("top-number"), then request the item from the controlled series for the year and number range. It is advisable to check the annotations in the "remarks" columns of the registers for any comments (such as, Away batch) that may indicate the location of the particular correspondence.

Information Sources


This series consists of yearly registers kept by the Colonial Secretary's Office for the registration of inwards correspondence. The registers provide access to the series of correspondence.

Each register is arranged alphabetically by the functions and agencies for which the Office was responsible and by an alphabetical listing (A-Z) of letters from individuals or organisations. Within each register, entries contain the date of letter and its registration, the author and the subject of the letter and the action taken.

As the practice of "top-numbering" developed, it became necessary to have two additional columns in each register to show previous and subsequent letter numbers. Thus it is necessary to follow the sequence of numbers through the register or registers to find the final number in order to know where the earlier correspondence is filed.
